This Policy covers the privacy practices of SeniorCarefully LLC in providing our Digital Marketplace, enrollment tools, and booking technology. We distinguish between the data we collect to run our website and the sensitive data used to facilitate senior care transitions.
1. Data Classification: Interaction vs. User Data
- Interaction Data: Information collected when you browse SeniorCarefully.com, create an account, or contact support. This includes IP addresses, browser types, and contact details for billing. This is governed by our general website terms.
- User Data: Highly sensitive information provided by Families (Clients) and Adult Family Homes (Providers) to facilitate a match and move-in. This includes health assessments, clinical needs, financial move-in documents, and facility licensing data.
2. Access and Use of User Data
SeniorCarefully is a technology bridge. We access User Data only for the following marketplace functions:
- Enrollment Facilitation: We securely transmit Client assessments to the chosen Provider for clinical review and booking.
- Move-In Payment Processing: Financial data for the initial payment only is processed via Stripe. SeniorCarefully does not store full credit card or bank account numbers.
- Resident Likeness & Photos: Providers may upload facility photos. SeniorCarefully requires Providers to certify they have obtained HIPAA Marketing Authorizations before uploading any media containing resident likenesses. If you believe an image is posted without consent, contact security@seniorcarefully.com for immediate removal.
- Aggregated Analytics: We use de-identified data to analyze market trends (e.g., "Most requested amenities in Snohomish County"). This data never identifies individuals or specific homes.
3. SMS Security & Transactional Alerts
We use SMS for essential security and marketplace operations:
- Two-Factor Authentication (2FA): To protect account access.
- Move-In Alerts: Real-time notifications for booking confirmations and document signatures.
- Consent: By providing your mobile number, you consent to receive these operational texts. You may opt out by replying STOP, though this may disable secure login features.
Secure Messaging Portal: To protect your privacy, all clinical and care-related discussions must occur within the SeniorCarefully Secure Messaging Portal. Standard SMS/Text messages are used only for non-sensitive alerts (e.g., “You have a new message waiting”). We strongly advise against sending medical details via standard SMS or external email.
4. Data Security & HIPAA Compliance
SeniorCarefully implements a robust security framework to protect Protected Health Information (PHI):
- Encryption: All data is encrypted at rest and in transit (AES-256).
- Business Associate Agreements (BAA): We maintain BAAs with all Providers, ensuring a legal chain of HIPAA compliance.
- Access Control: Internal access to User Data is restricted based on job necessity (e.g., technical support).
5. Your Data Rights & Record Keeping
- Access & Correction: Users may request access to or correction of their personal data at any time.
- Retention: In accordance with HIPAA, SeniorCarefully maintains a log of all PHI-related disclosures and privacy requests for a minimum of six (6) years.
- Deletion: You may request account deletion; however, certain data may be retained as required by healthcare record-keeping laws or financial auditing requirements.
