By Washington State law, every senior must have a professional functional assessment before moving into a licensed Adult Family Home. This document ensures your loved one's care is matched to their exact medical and social needs.

• RN-led expertise: We pair you with trusted local Registered Nurse partners — ONIT RN Services — for a convenient virtual assessment.
• A full picture of care: The assessment covers medical needs, mobility, cognition, diet, and personal routines — what providers need to quote accurately.
• Risk-free enrollment: You pay the $350 assessment fee directly to ONIT RN at the time of your session. When you book care through SeniorCarefully and your loved one remains in their home for 30+ days, we reimburse 100% of that cost (ONIT-scheduled assessments only).

Many families unknowingly put sensitive health information at risk by sharing assessments over standard email or text. We provide an encrypted platform to share your assessment with licensed AFH providers — only with your explicit permission.

• Privacy by design: Your assessment is protected with AES-256 encryption at rest and TLS encryption in transit.
• Time-limited provider access: When you request quotes, providers have a 24-hour response window. After that window, pending requests expire and health sharing is revoked unless you have an active quoted or booked placement.
• Automatic data purge: We remove assessment files from our platform when they are no longer needed for an active quote, board post, or admissions workflow — including after admissions documents are delivered and purged per our retention policy.
• Washington MHMDA protected: We follow the Washington My Health My Data Act, including your right to delete data and request transparency on who accessed your information.
• Vetted providers only: Health data is only shared with licensed providers who complete onboarding on SeniorCarefully, including signing a HIPAA Business Associate Agreement (BAA).

• 24-hour quote delivery: Once your assessment is securely shared (with your permission), licensed providers in your area can respond with detailed quotes through our platform within 24 hours.
• Compare with clarity: View and compare quotes in your dashboard. Each quote includes care details and monthly rates so you can find the best fit for your budget.
• One-click meetings: When a home looks promising, schedule a one-on-one virtual meet or an in-person home tour from your dashboard.
• Booking care: When you find the right match, book through SeniorCarefully with Stripe checkout. Your first month is processed securely on the platform, with funds transferred to the licensed home per our provider agreement. Private-pay bookings qualify for our guarantee programs; Medicaid placements follow a separate confirmation path without online payment.

Once you've found the right match, we help you cross the finish line without the paperwork headache.

• Digital onboarding: Sign state-required residency agreements and enrollment documents digitally.
• All-in-one dashboard: Your assessment, quotes, meetings, and signed admission files stay organized in one secure place for you and your provider.
• Confirmed reimbursement: After 30 days of successful residency, eligible families can receive the $350 assessment reimbursement — subject to program terms, ONIT scheduling, and platform booking requirements.

Admissions documents are delivered by secure email and removed from SeniorCarefully storage 48 hours after delivery, per our data retention policy.
